Christmas Party Entertainment Ideas: Plan the Evening Early

Great Christmas party entertainment rests on a clear schedule: a welcome, a short thank-you for the year, dinner, one strong moment and plenty of free time to celebrate. In December, timing matters too – suppliers' dates fill up quickly, so it pays to request your programme early. Here is how to build the evening and where a robot fits in.

What makes a good Christmas party programme

For most companies, the Christmas party is the most important social event of the year. Guests look forward to a pleasant evening with colleagues, management wants to thank the team for their work, and HR or marketing want people to leave with a good feeling. The programme should therefore have a few fixed points and enough free time for conversation.

  • a welcome on arrival, ideally with a chance to take photos
  • a short thank-you from management for the past year
  • dinner with background music
  • employee awards, a raffle or a prize draw
  • one main surprise of the evening
  • a dance floor with a DJ or band and free entertainment

A sample Christmas party schedule

Exact times vary with the size of the company and the venue, but this order of items works well. The main rule: the official parts belong at the start, while the room's attention is at its peak, and the fun comes after dinner.

  1. Guests arrive

A welcome drink, a festive greeting at the entrance or by the photo wall, and the first photos.

  2. Opening and thank-you

The host opens the evening, and management briefly sums up the year and thanks the team.

  3. Dinner

Time for conversation, background music and no major programme item.

  4. Awards and raffle

Announcements, a prize draw or thanks to specific teams.

  5. The surprise of the evening

One standout moment, for example a dance appearance that opens the dance floor.

  6. Free entertainment

A DJ or band, the dance floor and a photo corner until the end of the night.

Where a robot fits into the Christmas programme

At a Christmas party, a humanoid robot is not a backdrop for the whole evening but a few well-timed moments. It performs in short appearances with breaks, and an operator controls it at all times. Three moments in the programme work particularly well.

When choosing the moment, think about the rhythm of the whole evening. If the programme is already full of speeches and awards, a single dance appearance after dinner is enough. If you are looking for a way to liven up the start, when guests are still finding their feet, a welcome with photos on arrival is the better fit. Larger corporate events often combine both, so the robot makes an impression as guests walk in and again when the dance floor opens.

  • Christmas welcome: the robot greets guests at the entrance or by the photo wall and poses for group photos for the company album.
  • Dance appearance after dinner: a short dance number to agreed music that gets the dance floor going.
  • Surprise of the evening: the robot enters to hand over to management or to introduce the raffle.

Planning in peak season: when to start

The Christmas party season falls in November and December, when many companies compete for the same dates. Equipment and team capacity is limited, and availability for any specific date is always confirmed by our production team. The sooner you know what you want, the more options you have.

  • Request your programme early, ideally as soon as the venue and date are confirmed.
  • If you do not have an exact date yet, give us at least a time frame, such as the second week of December, and we will check the options.
  • Let us know whether there will be a DJ or band on site; the music for the dance needs to be agreed in advance.
  • Allow time for preparation and a rehearsal before the evening begins.
  • An inquiry is not a reservation – the date is only binding once our production team confirms it.

Decorations, space and technical needs

A Christmas party has its own technical specifics. Decorations, a Christmas tree, candles and fairy lights create the atmosphere, but they take up space and often bring cables on the floor. If you include a robot in the programme, keep decorations and cables away from its route.

The robot needs a flat, firm surface without steps, clear space around it so guests can keep a safe distance, and a backstage area for preparation and breaks with access to power. Send us a floor plan or a few photos of the venue and our production team will assess the route and performance spot in advance. If the party takes place outdoors or on a terrace, weather and surface are assessed separately.

Smaller and larger Christmas parties

The programme can be adapted to the size of your event. For a smaller party, a welcome and one or two dance appearances are often enough; the scope is proposed according to the number of guests and the space. At large events in a hall with a stage, the robot can perform an agreed stage number linked to the host, music and lighting.

With a larger number of guests, it helps to split the appearances: one on arrival, when guests are taking photos, and one during the main part of the evening. Tell your photographer or videographer the times of the key moments so they can capture them – companies like to reuse videos from their Christmas party in internal communications too.

How to request a Christmas party programme

For a first proposal, simply send us the type of event, the date or time frame, the city, the approximate number of guests and the evening's schedule, even if it is only provisional for now. From that, we will suggest where the robot fits and how many short appearances make sense. RobotShow prepares programmes for events across the Czech Republic and handles events abroad individually.

The price is always quoted individually, based on the programme, how long the team is present, the venue and travel. Send a no-obligation inquiry through the English site – and in the December season, the sooner the better.

Frequently asked questions

How far ahead should we book Christmas party entertainment?

As soon as possible after the venue and date are confirmed. Dates in November and December fill up quickly, and availability is confirmed by our production team.

We do not have an exact date yet. Can we still send an inquiry?

Yes. Give us a time frame, such as the second week of December, and we will check the options. The date becomes binding only once our production team confirms it.

Do Christmas decorations get in the robot's way?

They can if they block its route. Keep decorations, candles and cables away from the robot's path, and send us a floor plan or photos so we can assess the space in advance.

Can the robot hand out raffle prizes?

Anything involving handling objects is always tested at the rehearsal first. The robot can accompany the raffle announcement with its entrance; we suggest the exact format based on your ideas.

Quick no-obligation inquiry

A few details are enough – we will fine-tune the rest together. Sending the form is not a booking.
