Where to Place a Robot in Your Event Schedule

A robot works best as several well-timed moments in your programme, not as all-day background decoration. The proven slots are guest arrival, the opening, the return after a break or dinner, the main surprise of the evening and award or prize-draw moments.

Proven moments in the programme

Every event has a few points where the room's attention is naturally high – or where it needs to be brought back. These are the moments where a robot makes the strongest impression:

  • Guest arrival – a welcome and the first photos of the evening.
  • The opening – a staged routine linked to the host.
  • After a break or after dinner – bringing attention back to the stage and opening the dance floor.
  • The main surprise of the evening – a dance routine or a performance by several robots.
  • Handing over to a speaker, announcing results or a prize draw.

Choosing the right moment for your event type

At a conference, the opening is usually the strongest slot: a staged routine with the host focuses the audience on the stage before the first speaker. A short appearance at the end of the programme can round the day off.

At a corporate party or gala, the arrival of guests, the moment after dinner and the main surprise of the evening tend to work well. A dance routine can open the dance floor, while welcome appearances among guests give everyone a chance to take photos.

At a trade fair, the logic is different: short, repeated demos during the busiest hours of the hall bring visitors to your booth. Whatever the format, it is worth deciding which one or two moments matter most to you and building the rest around them.

Length of appearances and breaks

A staged routine lasts minutes, while the team is present for hours. Between appearances there are breaks, which both the robot and its operators need. That is why our proposals distinguish between three things: stage time, the team's presence on site and the robot's actual operating time.

In practice, this means a robot is not booked to perform continuously from the first guest to the last. The team arrives in advance, prepares the robot, runs a rehearsal and stays for the whole agreed window, while the robot appears at the planned moments. Thinking about your schedule in these terms helps you set realistic expectations with your client or colleagues.

Coordination with the people in your programme

We agree each entrance with your host, show caller and DJ. The host can announce the robot, the DJ prepares the music and the technical team handles the lighting. The more precise the schedule you send, the better we can time each moment.

It also helps to tell us what happens immediately before and after the robot's appearance – a speech, a video, a course being served or a band starting. Smooth transitions are what make the robot feel like part of the show rather than an interruption.

Send us your schedule

Tell us the start and end time of your event and the type of programme you are considering, and we will suggest an indicative layout of the robot's appearances. Our production team then refines it together with you as your schedule develops.

RobotShow prepares programmes for events across the Czech Republic and handles events abroad individually. Every programme is quoted individually. Send us a no-obligation inquiry with your draft schedule and we will propose where the robot's moments fit best.

Frequently asked questions

How long does one robot appearance last?

A staged routine lasts a few minutes. The number of appearances and the breaks between them are set by our production team according to your schedule.

Can the robot be present for the whole event?

Our team can be present for the whole agreed window, but the robot appears at planned moments with breaks in between. It is not a non-stop attraction for the entire event.

Who announces the robot's entrance?

Usually the host. We agree the cue, music and lighting in advance with the host, show caller and DJ or sound engineer.

When should we send the schedule?

As soon as you have a draft. Even a rough timeline lets us suggest suitable moments, and we refine the details as the schedule is finalised.

Quick no-obligation inquiry

A few details are enough – we will fine-tune the rest together. Sending the form is not a booking.
