What a conference opening should achieve
The first minutes of a conference decide how closely the room will listen afterwards. Attendees are still finishing emails, looking for seats and arriving from registration. The opening should bring them into the room within moments – not just physically, but mentally too.
A good opening therefore does not have to be long or lavish. It needs a clear start, one striking moment and a clean transition to the first agenda item. Originality is not about the number of effects, but about giving attendees something they did not expect at a conference.
- focus the room's attention on the stage
- hint at the theme or mood of the conference
- give attendees a moment they will film and talk about
- hand over smoothly to the host or the first speaker
Ideas for an original opening
The choice depends on the theme, the audience and the size of the room. A specialist conference calls for a different opening than a company kick-off or an awards ceremony. Combining one main element with music and lighting works well – a darkened room and the first notes signal on their own that the programme is starting.
Before you settle on an idea, ask yourself what attendees should take away from the opening. If it is mainly about energy and attention, go for a live act. If you want to introduce the theme, a video or a host with a well-chosen question helps. And if you want a moment people will still be discussing in the corridors, choose something attendees do not usually see at a conference.
- a short opening video that introduces the conference theme
- dimming the lights, music and lighting as the signal to begin
- a live act – a musician, dancers or a performer for three to five minutes
- a question from the host to the room, answered by a show of hands
- a stage number by a humanoid robot linked to the host
- the first speaker arriving in an unusual way, for example from the audience
A stage opening with a robot: how it works
A robot opening is a single stage number in which a humanoid robot enters the programme at an agreed moment and opens the conference together with the host. The number follows your schedule, music and lighting. It suits technology and non-technology sectors alike – for most attendees, a robot is unexpected and naturally draws attention to the stage.
The process has four steps:
Preparation
We clarify the number's role in the programme, the stage space, access and the time needed for preparation.
Rehearsal
On site, we run through the entrance, the sound and lighting cues and the handover to the host.
Performance
The host announces the entrance, the robot walks onto the stage and performs the agreed stage number.
Exit
The robot leaves the stage and the programme continues smoothly with the next item.
Handing over to the host and the first speaker
The most common weak spot of an opening is the transition. An impressive start loses its impact when it is followed by a long silence, a search for the microphone or technical switching. It pays to write down the exact sequence: who gives the cue, when the lighting changes, who speaks first and with what words they hand over.
For a robot opening, we prepare a draft script for the number linked to the host. The text and the entrance can be adapted to the theme of your event. If you want the robot to mention the conference theme, send us a short brief. The host then announces the robot, picks up after the number and introduces the first speaker.
Involve the host in preparation as early as possible. At the rehearsal, they go through the entrance and their position on stage, so they keep enough distance from the robot while staying in the camera shot. During the event, our production coordinator times the entrance with your show control, so the host does not have to deal with anything on the fly.
Length, technical needs and rehearsal
The opening should be short. For a robot number, we suggest three to five minutes of stage time; our production team confirms the exact length based on the technology and the programme. The team's presence is longer – it includes preparation, the rehearsal and waiting for the entrance according to the schedule.
No opening works without a rehearsal. Plan it for a time when the room is free and the equipment is already connected, ideally before attendees arrive.
- a flat, firm stage surface and access route – our production team assesses steps and ramps in advance
- power and a space for preparation backstage
- agreed sound and lighting cues with your technical crew
- music cleared for rights
- in a large hall, a feed to the screens so the back rows can see well
- a contact for your show control or stage manager
How to keep attention after the opening
A strong opening is the start, not the whole programme. Attention in the room drops mainly after breaks and after lunch. A short robot entrance before the next block brings attendees back into the room and helps the host start on time.
During breaks and networking, the robot can appear among attendees. Short appearances alternate with breaks and are a natural conversation starter and an occasion for photos together. A short robot appearance at the close of the programme can also complement the opening.
How to start preparing
Send us the conference schedule, the venue, the approximate number of attendees and your idea of how the opening should feel. From that, we will propose the flow of the number and check the stage, access and technical setup. RobotShow prepares programmes for events across the Czech Republic and handles events abroad individually.
The price is quoted individually, based on how long the team is present, the script preparation, the venue and travel. The date is only binding once our production team confirms it. If you are not yet sure which programme to choose, send a no-obligation inquiry through the English site and we will suggest one.
Frequently asked questions
How long should a conference opening be?
A few minutes is usually enough. For a robot opening, we suggest a stage number of three to five minutes; our production team confirms the exact length.
Does the robot need a special stage at a conference?
A flat, firm surface and safe access are enough. We check the stage and access route specifications during preparation.
Can a robot opening reflect the conference theme?
Yes, the text and entrance can be adapted to the theme of your event. Send us a short brief and we will draft the script with the host in mind.
When does the rehearsal take place?
At an agreed time before the event, ideally when the room is free and the equipment is connected. We run through the entrance, the sound and lighting cues and the exit from the stage.
